Privacy Policy

1. Information we collect

We collect information you provide directly to us, including:

• Account information, such as your name, email address, and password.
• Billing information, such as your billing address and payment details, collected and processed directly by our payment provider, Stripe. We don't see or store your full card number.
• Source Content you upload for processing (video and audio files, or links to hosted footage) and the Generated Content Clipcaptor produces from it, such as clips, captions, transcripts, and thumbnails.
• Workspace data, such as brand kits and team member roles, for accounts with multiple seats.
• Communications you send to us, such as support requests and feedback.

We also collect information automatically when you use the Service, including log and usage data (IP address, browser type, pages visited, timestamps) and device information (device type, operating system). We use essential cookies only and cookie-free analytics, as described in our Cookie Policy.

2. How we use your information

We use the information we collect to:

• Provide, operate, and maintain the Service, including transcribing, clipping, captioning, and reframing your footage.
• Process payments and send related information, such as receipts and notices about your access period.
• Communicate with you about updates, security alerts, and support messages.
• Monitor and analyze usage to improve the Service and develop new capabilities.
• Improve Clipcaptor's own features (for example, the accuracy of clip detection and captions) using videos you upload and the clips generated from them, but only if you turn this on. It is off by default, and we do it only with your consent. You can turn it on or off at any time in your account settings (Account settings, Privacy), and withdrawing consent is as easy as giving it. You can also email privacy@clipcaptor.com. Leaving it off or turning it off doesn't affect your use of the Service, and once it's off your videos are no longer used this way.
• Detect, investigate, and prevent fraudulent, abusive, or unauthorized activity.
• Comply with legal obligations.

3. How we share your information

We do not sell your personal information. We may share information with:

• Service providers (sub-processors) who perform services on our behalf, listed in the Sub-processors section below.
• Other members of your workspace, where you've invited them or granted them access to shared projects and content.
• Law enforcement or regulators, where required by law, legal process, or to protect the rights, property, or safety of Clipcaptor or others.
• A successor entity in the event of a merger, acquisition, financing, or sale of assets.

4. Legal bases for processing (UK GDPR)

We only process personal information where UK GDPR (and, for users in the EU, the EU GDPR) gives us a legal basis:

• Contract: to create your account, take your payment, and provide the Service you bought.
• Legal obligation: to keep tax and accounting records and to respond to lawful requests from authorities.
• Legitimate interests: to keep the Service secure, prevent fraud and abuse, and send service messages. We balance these interests against your rights.
• Consent: where you turn it on, such as letting us use your videos to improve Clipcaptor's features (off by default), or optional marketing emails. You can withdraw consent at any time.

5. Sub-processors

We use the following sub-processors to run the Service. For each one we list where it is based and the safeguard that covers any transfer of your data outside the UK or EU. We'll update this list before adding a new one.

• Cloudflare, Inc.: Website and application hosting, content delivery, security, and cookie-free web analytics. Location: United States (global network; UK and EU traffic may be processed in the US). Transfer safeguards: EU-U.S. Data Privacy Framework and its UK Extension, plus Standard Contractual Clauses and the UK Addendum in Cloudflare's Data Processing Addendum.
• Stripe Payments Europe, Ltd.: Payment processing. Location: Ireland, with processing by Stripe, Inc. in the United States. Transfer safeguards: EU-U.S. Data Privacy Framework and its UK Extension, plus Standard Contractual Clauses and the UK Addendum in Stripe's Data Processing Agreement.

6. AI processing of your content

Your Source Content is processed by machine learning models operated by or for Clipcaptor, solely to deliver features like clip detection, captioning, and reframing. Any third-party AI provider that processes your content is named in the Sub-processors section above before it receives any of your data. We do not use your Source Content to train general-purpose models made available to other companies or the public, and we do not share it with third parties for their own independent purposes.

7. Data retention

We retain your information for as long as your account is active or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. Uploaded footage, generated clips, and projects are deleted 30 days after your access period ends, or sooner if you delete them yourself. Payment and invoice records are kept for 6 years to meet UK tax rules. You may request deletion of your data as described below.

8. Data security

We implement administrative, technical, and physical safeguards designed to protect your information, including encryption in transit and at rest, access controls, and regular security reviews. No method of transmission or storage is completely secure, and we can't guarantee absolute security. See our Security page for more detail.

9. International data transfers

Your information may be transferred to, and processed in, countries other than the one in which you reside, including the United States. Every such transfer is covered by a UK adequacy regulation, the EU-U.S. Data Privacy Framework and its UK Extension, or Standard Contractual Clauses with the UK Addendum (or the UK International Data Transfer Agreement). The safeguard used for each provider is listed in the Sub-processors section. You can ask us for a copy at privacy@clipcaptor.com.

10. Your rights and choices

Depending on your location, you may have the right to access, correct, export, or delete your personal information, or to object to or restrict certain processing. You can change how your videos are used at any time in account settings. To exercise other rights, contact us at privacy@clipcaptor.com. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk, or to your local data protection authority if you live in the EU.

11. Children's privacy

The Service is not directed to anyone under 18, and we do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with personal information, contact us and we'll take appropriate steps to delete it.

12. Changes to this policy

We may update this Privacy Policy from time to time. We'll notify you of material changes by posting the updated policy on this page and updating the “Last updated” date above.
